Business continuity planning - risk management series :

Business continuity planning which is part of our risk management series of videos. Business continuity planning is a process of developing a practical plan for how your business will recover or restore critical business activities within a given timeframe after a crisis or disaster.

The resulting plan is called a business continuity plan or bcp. When developing your bcp you should include actions to rehearse maintain and review your plans to make sure the plan meets the needs of your business over time. Depending on the size and nature of your business you may choose to have separate risk management, business impact analysis, response and recovery plans.

For a small business a single plan that including all of the above elements may be enough. Depending on the type of incident you are dealing with your planning stages may overlap. For example recovery activities should start during the response phase. Risk management should be an ongoing process.

It’s important however to look at each of the stages in the business continuity planning process in detail. They can be summarised as: prevention – or risk management, preparedness - business impact analysis, response – or incident response, and recovery – covered in recovery planning.

Your bcp should contain all of the information required to allow your business to resume critical business activities as quickly as possible if a crisis occurs. This includes:- distribution lists and associated documents.

This includes details of who will receive a copy of the plan other associated plans and checklists as well as policy and procedures such as emergency evacuation procedures. The introduction or executive summary provides a broad description of the plan including priorities opportunities and assumptions as well as giving an overall picture of what has to be done to maintain business continuity.

Your glossary provides an explanation of terms definitions and acronyms that are used throughout your business continuity plan. The risk management section should detail identified risks how likely they are to occur and their likely consequences.

This allows you to minimise these risks by putting mitigation strategies in place. Your business impact analysis identifies the effect of different external and internal impacts upon the various parts of your business in times of crisis. It also identifies the time that your business can survive without undertaking critical activities.

The incident response plan documents the tasks that’ll be required to manage the initial phase of an incident and the individuals responsible for each task. It covers all of the information the organisation needs to be able to manage the immediate incident.

The plan activation section is a clear statement of the circumstances when your plan should be invoked and the list of personnel authorised to invoke the plan.

It also sets out the process for mobilising and standing down the relevant teams. The bcp teams section identifies and lists the members of your planning response and recovery teams and their roles as well as a suitable backup person if someone is unavailable.

The communications section guides all internal and external communications related to the incident response to make sure the team knows what to communicate based on the type of incident. Contact lists provide easy access to all contact numbers that might be needed in a crisis including team members emergency personnel staff suppliers and key customers. Your recovery plan outlines the overall strategy to maintain or recover critical business operations recover property losses and resume normal operations.

It should also specify ideal recovery timeframes to minimise serious business impacts or losses. Your testing and maintenance section outlines the specific training requirements necessary for carrying out the response and recovery activities as well as a schedule of drills and exercises to be conducted.
